Hillsborough County Supervisor of Elections is seeking an Administrative Assistant to join our dedicated team. As an Administrative Assistant, you will play a vital role in ensuring our electoral processes' accuracy, efficiency and integrity. The ideal candidate will be detailed oriented, have strong communication skills and have the ability to work in a team to support the tasks necessary for the successful execution of the 2024 election

Pay Range: $22 / hr
Job Duties
Performs a variety of advanced administrative, secretarial, and confidential functions and duties
supporting the Supervisor of Elections and Chief Communications Officer
Maintains the Supervisor of Elections’ calendar; schedules and coordinates appointments, reserves venues, coordinates attendees; assembles handout materials, slideshow presentations and equipment
Prepares, proofreads and distributes correspondence, memos, spreadsheets, logs, meeting minutes, invoices, and reports in final form, for approval or signature of Supervisor of Elections
Reviews incoming postal mail, electronic mail, correspondence, and statements; forwards to the Supervisor of Elections, Chief Communications Officer, or other professional and department staff
May assist Supervisor of Elections and Chief Communications Officer by following-up on the status of time sensitive items
May prepare and distribute outgoing electronic mail and correspondence on behalf of Supervisor of Elections
May access, secure and monitor restricted, sensitive and confidential records or information
Performs other related duties, as required
Job qualifications
4 years direct supervisory/management experience or a Bachelor's Degree from an accredited four-year degree granting college or university
Prefer minimum two years of administrative/secretarial experience
Knowledge of processing administrative and secretarial procedures, such as word processing, files and records maintenance, transcription, and other related procedures
Skill in the use of computers, computer related software or programs, local networks, databases and internet search engines
Skill in communication and effective writing, and attention to detail
Ability to transcribe documents and information from different sources
Ability to handle restricted, sensitive and confidential information
Ability to serve the public and represent the Supervisor of Elections Office with courtesy and professionalism
Possession of a valid and current FL Driver License with no more than seven points
