Job Title: Legal Administrative Specialist II

We are seeking a highly skilled Legal Administrative Specialist II to join our dynamic team. The ideal candidate will provide advanced technical and legal administrative support, ensuring the smooth functioning of our legal department.

Under general supervision, the Legal Administrative Specialist II will be responsible for performing complex technical and legal administrative support tasks. This includes maintaining case management systems, record storage and retrieval systems, advanced spreadsheets, dockets, calendaring, pleading preparation, and file management. The role also involves assisting with discoveries and providing superior customer service while supporting multiple attorneys.

Key Responsibilities:

  • Database Management : Create and maintain complex Legal Department databases using advanced computer software.

  • Documentation : Manage a variety of municipal legal records, documents, and proceedings, ensuring accuracy and accessibility.

  • Pleading Preparation : Prepare pleadings, ordinances, resolutions, contracts, correspondence, reports, and other legal and technical documents.

  • Hearing Preparation : Assist with trial and administrative hearing preparation, organizing records, documents, evidence, and trial exhibits. Format and finalize briefs to comply with court rules.

  • Legal Research : Conduct advanced legal research, including case status, real estate transactions, and organizational and operating documents.

  • Administrative Support : Handle complex administrative tasks including budgeting, accounts payable, purchasing, and accounting duties.

  • Customer Service : Respond to inquiries and complex issues from internal and external clients.

  • Project Management : Coordinate and schedule meetings, manage litigation calendars, and ensure consistent claim forms.

Education and Experience:

  • Completion of sixty (60) college hours from an accredited university and one (1) year of progressively responsible administrative or clerical experience in the legal field.

  • OR a combination of one hundred twenty (120) college hours from an accredited university and six (6) months of administrative or clerical experience in the legal field.

Skills and Abilities:

  • Comprehensive knowledge of legal procedures, principles, and terminology in municipal, civil, and criminal law.

  • Thorough understanding of court rules and procedures, including local, state, and appellate court regulations.

  • Proficiency in legal software and hardware, and familiarity with business English and basic accounting.

  • Ability to manage multiple tasks independently with speed and accuracy.

  • Excellent written and verbal communication skills, with the ability to influence and communicate effectively with various stakeholders.
