Role Type: W2 Hourly Contract, Full-Time

Rate: $47.50 - $80 / Hour

Work Location: This role is remote, with reimbursable travel to Denver, CO. Ideally, the candidate would be based in Colorado.

System: Epic, an Electronic Health Records system (EHS)

JOB DESCRIPTION:

Our client, a leader in healthcare, emergency, and trauma care, is seeking an Epic Scheduling Optimization Consultant to enhance patient scheduling within their Epic Patient Scheduling System (EHS). The role involves designing templates to centralize and standardize the system, improving efficiency, transparency, accountability, and overall optimization, particularly for patients needing multiple procedures in a single day. The Consultant will collaborate with multiple departments, offer design and advisory services, develop training curriculum and materials, and implement a train-the-trainer model to prepare individuals responsible for conducting scheduling training.

MINIMUM QUALIFICATIONS:

To be considered as qualified, the Consultant will provide evidence regarding the following:

  • In-depth knowledge of, and experience with,Epic system and functionality, specifically healthcare patient scheduling.

  • Experience advising organizations in the creation of scheduling templates and standardized expectations for appointments made through the Centralized Contact Center, MyCart, which is Epics’s patient portal, referrals (using Epic or Epic Link) or via fax, which are transported in Epic Scheduling.

  • Analyze existing reporting tools and resources to ensure the design, data definitions, and validation of reports support effective ongoing monitoring and management.

  • Advise on best practices to enhance adoption and utilization of the MyCart Patient Portal.

  • Subject matter expertise in healthcare scheduling, including:

  • Best practices for balancing scheduling slots.

  • Best practices for distributing provider time between inpatient and outpatient services.

  • Robust understanding of the use of blocks, visit types, slots, and decision trees for an optimal low code approach to dynamic scheduling practices.

  • Ability to navigate information gathering and decision making in complex environments with multiple interested parties and diverse perspectives, including care providers, operations, finance, and IT.

  • In-depth knowledge and experience with organizational change management best practices.

  • Change management as defined by the Association of Change Management Professionals (acmpglobal.org).

  • Knowledge of, and experience in project management best practices, with experience providing significant project management support.

  • Project management as defined by the Project Management Institute (pmi.org)

  • ​​​​​​​Develop a training curriculum and implement a train-the-trainer program to prepare individuals responsible for conducting scheduling training.

  • Centralize template building and management, including recommendation for governance and standards.

  • Experience with Epic System implementations is an asset!
